EarlyCareerz Privacy Policy

1. Introduction

Individuals who register as Candidates, Applicants, Students or Graduates of EarlyCareerZ or GradSiftExtra, are referred to as Applicants. Individuals who use these platforms as a registered employer or client are referred to as Clients.

This Privacy Policy explains how we collect, use, disclose, and safeguard your information.

2. What Information We Collect

When you use EarlyCareerZ, we may collect:

• Your name, address and contact details

• Education history and employment details

• Extracurricular activities, resume, cover letter

• Recorded video interviews and academic transcripts

• Any other personal information you provide

You may also choose (at your sole discretion) to provide sensitive data, such as:

• Gender

• Sexual orientation

• Disability status

• Ethnic background

However, this sensitive data is NOT disclosed to EarlyCareerZ clients.

3. How We Use Your Information

We use your personal and sensitive information to:

• Allow Clients (employers or their recruitment agencies) to consider your suitability for employment opportunities

• Allow Clients to contact your directly, where you have given your permission when creating or updating your EarlyCareerZ profile

• Contact you regarding employment opportunities with Clients

• Conduct statistical reporting (such as equal opportunity reporting)

• Contact you to remind you to update your profile, or share career-related advice and suggestions

• Support administrative and benchmarking activities

When you create or update your profile for EarlyCareerZ, you are asked to give consent to share your contact details with Clients. If you answer yes, a Client can view the data we collect on you including mobile and email (but excluding gender, sexual orientation, disability status and ethnic background). They can contact you directly for employment opportunities.

If you declined to give consent, a Client does not have access to your details. You will still be considered for employment opportunities where the Client utilises an EarlyCareerZ email campaign. EarlyCareerZ sends an email to Applicants who meet the Client's requirements, which includes the Client contact details.    

4. Data Retention

We retain your information for up to three (3) years, or longer if you actively choose to maintain your profile
During this period, you can:

• Log into your GradSift Extra account to view, edit, or delete your information

• Request account deletion by emailing admin@gradsift.com

If you choose to delete your account, all personal and sensitive data will be permanently removed.

5. Disclosure of Your Information

We do not sell, trade, rent, or share your personal information with third parties without your prior consent.
However, we may transfer your data:

• Across international borders (including outside the European Economic Area)

• To trusted third-party processors that comply with GDPR and other data protection laws

All data is stored on secure servers located in Australia.

6. Data Security

We take reasonable steps to protect your data:

• Data is stored on secure servers in controlled facilities in Australia

• We comply with the Australian Privacy Act 1988

• We maintain a Data Breach Response Plan to notify authorities and affected individuals if necessary

Please note that internet communication (including emails) carries inherent risks. By communicating with us, you accept these risks.

7. Your Rights Under GDPR

If you are a resident of the EEA, you have the right to:

• Access, correct, or delete your personal information

• Object to or restrict the processing of your data

• Request portability of your data

• Withdraw your consent at any time

• Opt-out of marketing communications

• Lodge a complaint with a data protection authority
